Job Description:

LS Power is seeking a Legal Assistant to perform a wide variety of legal administrative and support duties for professional staff. Work performed will include a broad range of responsibilities involving legal and/or confidential information such as answering phones, filing, preparing and submitting routine filings, assistance with time sheets and expense reports, arranging for travel and assisting team members with calendars, schedules, conference calls and meeting preparation. Position entails working with all levels of internal staff across multiple offices and will also require communication with outside vendors and law firms. Essential Job Responsibitlies:

  • Completes a diverse and sometimes complex array of filing, adhering to multiple filing systems (including, but not limited to, hard copy filing, updating electronic databases and updating network folders)
    • Reviews, organizes, and processes numerous legal and vendor invoices; independently attempts to resolve billing issues and errors
    • Prepares spreadsheets and initiates other tracking procedures for unpaid and/or disputed invoices
      • Updates and maintains spreadsheets and other electronic data repositories related to corporate housekeeping
        • Creates, populates and maintains legal forms and precedent database on company-wide level
          • Opens legal department mail daily and responds to routine correspondence
            • Serves as liaison to internal and external teams for certain information; ability to field and prioritize requests
              • Participates in routine corporate housekeeping
                • Upkeep of corporate books, meeting minutes and legal files
                  • Scans, prints and copies documents
                    • Manages mail (USPS, FedEx, UPS, etc), including distributing incoming mail/packages, date stamp incoming documents, and prepare outgoing certified mail/packages
                      • Prepares timesheets and expense reports
                        • Assists in managing team members' calendars
                          • Assist with travel for team members
                            • Answers phones and routes callers and/or takes messages
                              • Assists in arranging conference calls
                                • Provides back-up administrative assistance and phone coverage to other teams as needed
                                  • Additional duties and responsibilities as needed
                                    Characteristics and Qualifications
                                    • Must have a minimum of two years experience working in a similar role either in a law firm or an in-house legal department; experience working with a corporate legal team preferred
                                    • Punctual and reliable
                                      • Time management and organizational skills
                                        • Ability to complete tasks with accuracy and great attention to detail
                                          • Ability to maintain the strict confidentiality of sensitive and/or speculative information
                                            • Ability to interact in a professional, friendly, and client-focused manner with all levels of staff across multiple offices
                                              • Ability to work in an industry that can be opportunistic with an understanding there will be periods of high activity and also, on occasion, down time following the completion of projects
                                                • Ability to work independently
                                                  • Ability to work with a team of busy professionals who often travel, work from job sites or otherwise work/communicate remotely; possess a level of comfort in serving as the client-facing team representative while in the department alone
                                                    • Ability to complete tasks with minimal supervision often from verbal directions
                                                      • Proficiency in Microsoft Office Suite
                                                        • Experience using SharePoint a plus
